1. Introduction

This Privacy Policy sets out the obligations and policies of FlatCheck (operated by ArcheLab Limited, "we," "our," or "us") under the Personal Data (Privacy) Ordinance (Cap. 486) of the Laws of Hong Kong (the "Ordinance"). It explains what data we collect, why we collect it, and what rights you have.

2. Data Collection and Purpose

2.1 Types of Data Collected

To provide our services, we collect the following categories of personal data:

• Account information — email address, name, phone number (obligatory for registration)
• User segment — selection of user type (voluntary)
• Listing content — property photos, descriptions, address, price, size (obligatory for listing creation)
• Verification documents — ownership documents such as rates notes or management fee statements (obligatory for landlord verification)
• Agent credentials — EAA licence number (obligatory for agent registration)
• Conversation and voice data — messages submitted to Fifi and optional voice input (generated through use of Platform)
• Payment information — transaction records, payment amounts, dates (obligatory for paid services)
• Device, usage, and location data — IP address, browser type, pages visited, map interactions (automatically collected)

2.2 Purposes of Data Collection

Data collected by the Platform will be used for:

• Identity verification, account authentication, and landlord ownership verification;
• Providing Platform services and features, including AI-powered conversational search, FitScore generation, market intelligence, listing creation, and lease template generation;
• Processing payments and managing subscriptions;
• Personalising your experience based on your user segment and preferences;
• Maintaining Platform operations, system security, fraud prevention, and abuse detection;
• Sending relevant service notifications, listing expiry reminders, and account alerts;
• Generating anonymised and aggregated analytics to improve Platform services; and
• Complying with legal obligations and responding to lawful requests from authorities.

We will not use your personal data for any purpose other than those stated above or purposes directly related thereto, unless we have obtained your prescribed consent in accordance with the Ordinance.

3. Artificial Intelligence and Data Processing

The Platform uses AI technologies provided by third-party service providers to power features such as conversational search, property reports, listing descriptions, document verification, and voice input. When you use these features, relevant data from your queries or uploads may be processed by our AI service providers for the sole purpose of generating the requested output. Verification documents are deleted after processing is complete. AI Outputs are for informational purposes only — see our Terms of Use for important disclaimers.

4. Data Disclosure

We will keep your personal data confidential. To fulfil the purposes in Section 2, we may disclose your data to:

• Our subsidiaries and affiliated companies;
• Third-party service providers assisting Platform operations (hosting, AI, payments, mapping, analytics);
• Any person or authority to whom we are required to disclose data by law; and
• Any person who owes a duty of confidentiality to us.

5. Cookies

The Platform uses essential cookies and similar technologies to maintain your login session and remember your preferences. We do not use tracking or advertising cookies. You may configure your browser to refuse cookies, but some features may not function properly.

6. Children's Privacy

The Platform is intended for users aged 18 and above. We do not knowingly collect personal data from persons under 18.

7. Data Security

We employ industry-standard security measures, including encryption in transit and at rest, to protect your personal data from unauthorised access or disclosure. No method of electronic storage is completely secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law. When data is no longer needed, we will securely delete or anonymise it.

9. Data Access, Correction, and Deletion

Under the Ordinance, you have the right to:

• Request access to the personal data we hold about you;
• Request correction of any personal data that is inaccurate; and
• Request deletion of your account and associated data.

Requests must be submitted in writing to privacy@archelabhk.com. We will respond within 40 days in compliance with the Ordinance. An administrative fee may apply.

10. Direct Marketing

We may use your contact information to send you information about FlatCheck services and updates. You may opt out at any time by clicking "unsubscribe" in any marketing email or contacting us at privacy@archelabhk.com. We will stop direct marketing free of charge upon receiving your request. Service notifications (security alerts, payment confirmations) are not marketing and will continue as needed.

11. Changes to This Policy

We may amend this Privacy Policy at any time by posting the updated version on the Platform. Your continued use constitutes acceptance.
